How Avantly works
Avantly has two independent flows that share the same account, branding, and user permissions: the gift certificate flow and the feedback survey flow.
The gift certificate flow
Section titled “The gift certificate flow”- You create a campaign: a donation request form with its own fields, branding, email templates, and rules.
- You publish the campaign — either embedded as an iframe on your own website, or as a hosted link you share directly.
- A customer fills out the form. This creates a donation request with status Requested.
- Depending on the campaign’s auto-approve rule, the request is either:
- left in the queue for staff to review and approve or reject, or
- auto-issued immediately for a fixed amount, or
- auto-rejected immediately.
- Approval automatically generates a gift certificate — a unique code with a PDF and QR code — and emails it to the requester.
- Whoever holds the certificate brings it to your business (or one of your locations) to redeem it. Staff look the code up, confirm the amount, and record the redemption.
- Optional follow-up emails can go out automatically after issuance, depending on whether the certificate was redeemed.
Staff can also skip the request step entirely and issue a certificate manually — useful for phone requests, walk-ins, or one-off gestures.
The feedback survey flow
Section titled “The feedback survey flow”- You configure a feedback survey with a star-rating question and one or more rating bands (for example, 1–3 stars vs. 4–5 stars).
- Each rating band has its own optional follow-up question and its own “thank you” action — commonly a redirect to a public review site for high ratings, and a private comment box for low ratings.
- You share the survey link — often via a QR code / preset tied to a specific table, server, or event, so responses can be attributed without the customer typing anything extra.
- Customers rate their experience and, depending on their rating, either leave a public review or send you private feedback.
What’s shared across both flows
Section titled “What’s shared across both flows”- Customers & locations — your business account, which can have multiple physical locations under one parent account.
- Branding — a default look for your account, which individual campaigns can override.
- Users & permissions — who on your team can see and do what.
Architecture, in short
Section titled “Architecture, in short”The public donation form and feedback survey pages are served directly by Avantly — you don’t host anything yourself (unless you choose to embed the donation form as an iframe on your own site). All data — campaigns, requests, certificates, redemptions, survey responses — lives in your Avantly account and is available in the admin dashboard and in reports and exports.
